Conference printing 101: The basics about agenda printing

One of the most important documents that will form part of your conference printing is the agenda. This will set the tone for the whole event, as visitors will constantly refer back to the agenda to stay on top of proceedings.

  • Black and White: An agenda is an information piece that will only be used to glance over for seconds, to see what will be coming up next, or who will be speaking soon. A plain black and white agenda, listing the various topics, time schedule and speakers should be sufficient enough to serve its purpose. You could bring in basic colours like red and black or blue, but keep it simple.

  • Agenda detail: This is the most important element of agenda printing that will determine whether it is a usable document or something that your visitors will throw into the dustbin. Make sure that the agenda details are correct, specifically the time slots. There is nothing more frustrating than when the agenda does not match with what is happening in front. First finalise the details of the agenda before you send the final draft to the conference printers.

  • Information: Speakers and visitors alike get irate if names are not spelled correctly on the agenda. Double check the spelling of a speaker’s name as this is his/her reputation that is on the line.  Don’t guess the name of speaker, rather ask and make sure that this is the way the person’s name is spelled.

  • Recycled paper: Print your agenda on recycled paper, especially where you are hosting a conference that is about green issues. This will show visitors that you take note of the green movement and contribute towards sustaining the earth. Something as small as this could contribute towards the success of hosting a conference.
